Onboarding Employees Without Killing Trees

By Chuck Ros of Emerald Software Group

Reducing your use of paper is a no-brainer when it comes to being an environmentally sustainable business. Onboarding employees via an automated onboarding system is a step in the right direction. It’s even more eco-friendly than using paper made from renewable fibers such as hemp (and better for your corporate image!)

Can you really eliminate that huge stack of new-hire paper documents? You bet. Currently, the IRS, the USCIS and every other federal or state agency will accept "virtual forms" or electronic data. This includes W4s, I9s, and new hire reporting forms. They have stipulations about what types of electronic signatures are acceptable, but these requirements are easily satisfied by today’s premier software vendors.

What about internal company documents (such as policy acknowledgements) and forms supplied by your outside HR service providers? Pick a flexible software system that will allow you to upload custom forms and integrate them into the workflow.

Your new hires can fill out every single document without ever touching pen to paper. The best thing about this choice is that it doesn’t just eliminate paper in the process of onboarding employees. It also does away with errors, omissions, and the tedious labor hours HR generally has to spend on data entry. Now, you can let the trees grow along with your company’s profitability!
